Organizing a gala evening: what for?

Want to offer your employees an event that is truly memorable and stands out from your usual corporate parties? A gala dinner might be just what you need!

If you think it’s only accessible to companies offering luxury products, think again: in this article, we explain why a gala evening at the Château de Poudenas could be the perfect event solution for you.

1) Corporate event and gala evening: what are the differences?

These two events are clearly distinct:

The company party: this is an informal event aimed at strengthening team cohesion and motivating employees. Relaxation moments, team-building activities, buffet... this event creates a friendly atmosphere.

The gala evening: this is a formal and more prestigious event, organized to celebrate in a more elaborate way. Generally, it takes place in an elegant setting, with a seated dinner and artistic performances: just because it is not informal does not mean there is no warmth! The gala also fosters the creation of connections.

There are several types of gala:

  • The company anniversary gala: celebrate a milestone anniversary in the company's history.

  • The charity gala: organize an event aimed at raising funds for a philanthropic cause supported by your company's values.

  • The launch gala: mark the beginning of a new phase for the company (product launch, opening of a subsidiary, strategic transformation…).

  • The awards/thank-you gala: honor the most deserving employees or celebrate annual achievements.

  • The closing gala: wrap up an event or major project by reflecting on its origins, its progress, and its purpose.

In summary, the gala and the corporate evening do not serve the same purposes and do not create the same atmosphere: one aims to strengthen team cohesion, the other to celebrate or convey a message.

2) Organizing a gala evening: what’s the point?

The gala evening stands out from the traditional evening, as it offers different advantages, but no fewer in number:

  • A celebration to strengthen trust and credibility

By celebrating a significant moment in your company's life (anniversary, change, resolution, notable achievement) or taking advantage of the event to convey a message (strategic transformation, announcement of a major project, announcement of annual results, future prospects), you show your entire audience that your company is thriving and that its activities are a source of success.

Grâce à cela, elles se sentent ainsi valorisées. De facto, you prove both that you are a reliable and credible partner, and that the company's stakeholders (employees, clients, and partners) are important for reaching this level of development. As a result, they feel valued.

  • A significant communication lever

As a prestigious event, the gala conveys a positive image of the company and demonstrates that it is dynamic and capable of mobilizing resources to celebrate significant moments: this brand image, reinforced by the gala, has a strong impact both with...

  • employees: strengthening loyalty and sense of belonging, increasing motivation

  • partners: strengthening the relevance of the partnership, building connections with new partners, creating new business relationships (networking)

  • clients: strengthening the company's quality image, creating new business relationships, networking here as well

The gala also contributes to the development of the employer brand: by promoting this event, you attract the attention of potential new talent.

3) Develop your program: what should be planned?

To ensure the success of your gala, you must first of all create a specifications document: how many people will you invite? What is the theme of the gala? Why are you organizing it? What is the date? What is the venue? What activities will there be and how will you communicate about it? And above all, what budget will you allocate to this event?

  • Location, dress code, and atmosphere

It is important that you choose a venue that matches the prestige conveyed by your gala. A 13th-century castle remodeled in the 16th and 17th centuries in a Renaissance style, the Château de Poudenas can host this type of event: halfway between Bordeaux and Toulouse, in the heart of the Gascon countryside, our castle has all the assets you will need to organize a prestigious gala:

  • An enchanting and grand setting, 6 rooms preserved with a period atmosphere, and numerous usable outdoor spaces

  • Two parking lots allowing everyone to park

  • 5 on-site accommodations that can host up to 54 people, and a selection of nearby accommodations for the rest of your guests

  • A flexible and experienced team, hosting events for nearly 10 years

  • Option to suggest service providers who are familiar with our venue

Fully customizable, you can create the atmosphere that suits you at Château de Poudenas and enhance it with a staging tailored to your needs. Don't forget to also communicate the dress code to your guests: black tuxedo, bow tie, or long dress—the dress code sets the tone of the event. It also helps ensure a certain uniformity among guests, which will help you maintain the evening's atmosphere and achieve perfectly usable and representative photos of the event.

  • Speeches

Necessary but to be balanced, speeches are essential for your event: company figures can take the floor to provide context for the event, its scope, and the reason for their presence. Executives, shareholders, elected officials, partners... Choose speakers carefully, anticipate and communicate their speaking order, manage their speaking time to respect the pre-established schedule, and ensure a good pace. Indeed, it is never good to overemphasize speeches, especially at key points of the evening (notably the launch and conclusion): it is an element of the program like any other, and it should not overshadow everything else!

  • The dinner

This is the cornerstone of your evening: the gala dinner. The rest of your event will revolve around it, so it is important to plan its proceedings carefully.

You need to choose catering that matches the standard of the event. Traditionally, this is a multi-course seated meal, which can help with the flow of movement, help pace the entertainment (by structuring it around the serving times), and guide conversations (the table plan is crucial and can foster strategic connections between partners). However, you can also innovate by offering a chic buffet served standing. In any case, the menu should take into account your guests' specific dietary needs and prioritize quality ingredients.

At the Château de Poudenas, we have numerous spaces that will allow you to host as many guests as needed: our main courtyard can accommodate up to 600 people for a banquet and 800 people for a cocktail, and can be lit with "guinguette" string lights that we own and can install.

If the weather doesn't allow for outdoor dining, we can accommodate up to 160 people in a single room, and even more by seating the rest of your guests in the other rooms: since the rooms are connected, the ambiance is preserved for all guests!

As for the caterer, we have an excellent contact list and can recommend providers suited to your needs and budget.

  • Entertainment

There are many possible activities, and they should reflect the tone of your evening as well as its theme. If speeches are a must (and not to be forgotten in the program!), you have the freedom to hire additional providers who can entertain your guests, or to organize a relevant activity yourself.

  • For a festive evening: consider live music bands, professional dancers, a DJ, or any other musical entertainment. Make sure to check your music providers' repertoire in advance to avoid any disappointments on the big day.

  • For a very formal evening: think of an orchestra playing refined music: jazz, classical music... anything is possible!

  • For a charity evening: fundraising is then a must. To organize it, you can set up auctions, which will liven up the tables.

  • For a friendly evening: why not book a magician, mentalist, or circus performer to impress your guests? If the tone of the gala allows it, such entertainers can amuse the crowd and give them a memorable keepsake of the event. You can also set up a fun photo booth!

Many other factors need to be considered when organizing your gala: managing invitations, ticketing, on-site staff, the cloakroom system, audiovisuals... Be sure to create a complete to-do list!

If you choose the Château de Poudenas, know that you will be accompanied on site throughout your evening; we will be there to handle any unexpected situations.
